    Job Description

    Ambitions Personnel are currently recruiting a Receptionist to work with the team in Grantham.

    Working; Monday – Friday 08:45-17:00.

    This is a unique role working in an extremely busy, fast paced, demanding environment. You will get involved in all aspects of the Recruitment process and offer Administrative support to the office consultants and senior management team. You will be customer facing and have face to face interaction with job seekers and employees.

    We are looking for a confident communicator who takes pride in their appearance and enjoys multi taking.  

    Working in a busy Recruitment agency you will be required to:

    • Manage a busy front Reception desk – dealing with a high volume of telephone enquiries advising as necessary; use of switchboard; being the first point of contact for all visitors and enquiries. Managing the phones and office walk in’s at the same time.
    • Meeting and greeting all office visitors that are enquiring about our services, adhering to all health and safety procedures and managing the Reception area as efficiently as possible
    • Front of house –clearing away and keeping the front reception area neat and tidy at all times. Responsible for work wear and PPE deliveries, putting them away and managing the stock. Responsible for general and recycling waste, deliveries and all incoming post
    • Administration tasks as required – photocopying all induction paperwork, data entry of the cheque listing, P45 list and replenishing all files as and when required
    • Providing administration support for the recruitment and new hire
      processes including; complete registration process, references, and recruitment checks in accordance with Safeguarding requirements, employment legislation and pensions.
    • Responding to email enquiries and messages/managing the reception in box
    • Taking messages for Consultants and advising as necessary
    • Liaising with Resource, Industrial and Commercial Consultants and Senior Management to understand the requirements for the day
    • Uploading of job adverts to job boards and keeping the shop window up to date
    • Assisting in arranging job interviews, liaising with candidates via telephone and email
    • Preparation of interview packs and all job application administration
    • Dealing with all post and all printing, ensuring it is sent to the correct team
    • Arranging deliveries and dealing with couriers
    • Taking deliveries, checking and signing them off
    • Answering enquiries about opening hours/events/any other business
    • Facilities management: ordering of stationary, office refreshments, cleaning products and waste removal items

    Person Specifications

    ·         As you will be the first impression for all visitors we are looking for someone who is well presented and takes pride in their appearance

    ·         You must be a confident communicator who enjoys multitasking and working in a busy environment

    ·         Confident in the delivery of negative feedback to unsuitable candidates

    ·         Proficient in MS Outlook

    ·         Excellent attention to detail and a methodical approach to workload

    ·         Previous administrative experience within an office environment

    ·         Ideally previous Reception experience but this isn’t essential
