Administration and Accounts Assistant

We’re recruiting on behalf of a fantastic, family-run SME based just outside Newark, who are looking for an Admin and Accounts Assistant to join their team. The current team member is moving on after 7 years with the company to progress their career, leaving an exciting opportunity for you.

This is a temporary position to start, with the intention to become permanent, offering long-term stability and opportunities for career progression. You’ll enjoy working with two office dogs in an agricultural setting and working school hours with flexibility to suit your needs.

Key Responsibilities:

Bookkeeping & Accounts:

  • Assist with day-to-day bookkeeping using Sage 50.
  • Maintain accurate records of financial transactions.
  • Raise and send invoices to clients.
  • Handle accounts receivable, including sending statements and managing queries.
  • Ensure material deliveries and collections are properly recorded, with tickets scanned and sent to the Environment Agency.
  • Process supplier payments, manage quotes, and pricing.
  • Collaborate with the external accountant (Colin, who visits on Tuesdays) for nominal codes and posting.

Admin & Reception:

  • Take orders and maintain client communication.
  • Source and order products/materials as needed.
  • Handle general office administration (filing, documentation, etc.).
  • Answer phone calls and respond to inquiries.
  • Maintain records of materials received and dispatched.
  • Perform reception duties, greeting clients and managing office visitors.

Additional Duties:

  • Perform risk assessments and maintain health and safety compliance.
  • Handle contractors and sub-contractors (e.g., lorry drivers).
  • Contribute to a positive office atmosphere, with friendly interactions and team engagement.

Skills and Qualifications:

  • Experience with Sage 50 or similar accounting software is desirable.
  • Strong attention to detail and organizational skills.
  • Friendly, approachable, and able to engage in light-hearted office banter.
  • Ability to work independently and manage multiple priorities.
  • Good communication skills, both written and verbal.
  • Interest or knowledge of the agricultural industry is a bonus.
  • Comfortable working in a fast-paced environment with changing priorities.
